Pep band is one of the most fun parts of playing with GPE. The students get time to cheer on their school team, play fun songs, eat some treats and hang out with their friends. Our band has a roped off section of the bleachers set aside for each home game. 

This year, our district has cut the transportation budgets for school events, so we will not have bussing from the high school to Hare Field nor most of our competitions. It will be each family's responsibility to get their student to and from the game. Carpooling options are available, but your student must have an Alternate Driver form on file in order to utilize the carpool. Students may drive themselves, but again, they must have the Student Driver Parent Release form on file.

Mr Adams recommends that you complete the form with the following information: For the Alternate Adult Driver Form: for Name of Alternate Adult Driver and Contact Numbers, write “Any Glencoe Parent.”For the activity/sport section on both forms, please write "Glencoe band/guard 25-26 school year".

***Students MUST check in and out with our parent volunteer before going home at the end of the event.  Think of it like pandemic check-in and check-out procedures. We need to be able to account for each student every time. We are working on a sign in/out system. Students will get more information on Friday.

If you are volunteering during a football game, you do not need to pay admission. Bypass the line and just tell the gatekeeper that you are band volunteer and they will let you in. If you do not have a band t-shirt, a few are available. Contact Amy W. to see if one is available in your size. Please be on time for your shift, check in at the main concession stand, and connect with either Emily West or Kara Errico to ensure your volunteer time is tracked.

 

As the dust settles on the Back to School stage of our year, we want to make sure all families are connected with our key communication methods used for our GPE programs.

ParentSquare- this is primarily for one-waycommunication directly from Mr Adams. He posts event timelines, updates on return times (like when are the kids getting back from a parade), and key reminders (like the hotel room selection for those going to London).

POINT- app/website for coordinating volunteer needs. Helps families ensure they contribute their 15 hour minimum each season.

Slack- our preferred collaborative space for communication. Channels are for different subgroups- committees (meals/equipment/ fundraising), performance groups (such as winter percussion or jazz band), and instrument  sections. #ask-a-question is a great channel to use when you need help or to share pictures. Primary method for booster announcements.

Facebook group- much like Slack as a place to ask questions and share pictures. Completely optional.

Newsletter- In depth and longer view perspectives. Helps you see ahead and more clearly the events that will impact our program.

Website- Calendar for all ensembles, repository for forms, booster meeting minutes, FAQ answers and past newsletter issues.

The GPE Board has completed it's proposed revisions to our bylaws. It is now time for input from you! Parent feedback will be accepted through October 1st. Afterward, the Board will review the comments, assimilate the feedback, and create a draft for legal review. The plan is for a vote by our membership at the November booster meeting.

Some of the major changes to the bylaws are to adapt to our modern meeting methods (Zoom with electronic voting). Other changes further define who votes on what topics (board vs. general membership) and how many votes a certain role gets.

An important part of the success of GPE is the commitment each family makes to providing at least 15 hours of service each season. In order to volunteer with GPE, adults must be registered volunteers with the Hillsboro School District.  If you are new to volunteering with HSD, here is the process

  1. Read the district's Volunteer Handbook and complete the Required Volunteer Trainings. Estimated time to complete: approximately 90 minutes.

  2. Complete the Volunteer Application

  3. Submit the Fingerprint Background Clearance.

  4. Check your volunteer status. Approval lasts for three years. Fingerprinting does not expire.

Once your volunteer status is confirmed, download the POINT app to see the current volunteer opportunities. Our volunteer coordinators also post volunteer needs on our Facebook group and Slack channel.  If you are not part of those communities please contact our volunteer coordinator directly.

Senior Banners

Band members will wear the Elevate Tops and Guard will wear this past Varsity Uniforms (regardless of team). Please be thinking about hair and makeup. The cost for the vinyl is $65 per senior and due on the day of the photos. If your family is unable to afford this, please let Amy DeGiovanni or Ben Adams know.  We want everyone to have this opportunity! The banners will be displayed at the high school and then moved to the stadium for game days! You will receive the vinyl to keep. The photos will be available to purchase separately. Bring this form on Sept 2nd.

Band Activity Fee and ASB Sticker

For all high school students, the district charges an activity fee on top of the booster fee to participate in GPE. An ASB sticker for their student ID is also required. The tiered reduced-fee options are based on your Family Income Survey form completed in ParentVue. Even if you qualify for the Free option, this “purchase” must be made for your student. Please have these fees paid before school begins on Sept 3rd. Middle school students do not need to pay these fees.

Volunteer Role Highlight: Concession Helper

Friday, Sept 12th is Glencoe’s first home football game. Games are played at Hare Field (1151 NE Grant St) and all band students are highly encouraged to attend and play pep band songs. We also use these games as an opportunity to perform our show during half time.

We need a lot of volunteers for these games. We run two concession booths and volunteers are needed to prepare food and run registers. Instruction is provided for each position including popcorn, hot dogs, cotton candy. We run these events in two shifts timed with the halves of the game. It is a fun way to get to know other band parents and assist in our fundraising efforts.

We do need volunteers to haul the equipment trailers to/from Hare Field as well. If you have a big truck, this would be a huge help.
